2.1 Information You Provide

• Account Information: Email address and password when you create an account.
• Email Generation Inputs: Client names, property addresses, agent names, and any extra context you type into the generator form. This data is sent to OpenAI to produce email output.
• Payment Information: When you purchase a subscription, payment details (card number, billing address) are processed directly and securely by Razorpay. We never store your raw payment card information on our servers.

2.2 Information Collected Automatically

• Usage Data: Number of emails generated, subscription status, and email history (stored to power your in-app history feature).
• Cookies: We use a secure, HttpOnly cookie to track your guest email usage limit. We do not use third-party tracking or advertising cookies.
• Log Data: Standard server logs including IP address, browser type, and pages visited, retained for a maximum of 30 days.

• To provide and operate the EmailWrite AI email generation service.
• To send your generation inputs to OpenAI's API to produce email content on your behalf.
• To process your subscription payments via Razorpay.
• To store your email generation history so you can access it later.
• To enforce usage limits (free tier: 3 guest emails, 3 free member emails).
• To communicate service-related announcements (e.g., billing confirmations, critical updates). We do not send marketing emails without your explicit consent.
• To improve and maintain the security and performance of our service.

We use the following third-party providers who may access your data solely to perform services on our behalf:

Your email generation inputs (client names, property details) are transmitted to OpenAI to generate content. OpenAI may use this data according to their API usage policies. We recommend you do not include sensitive personal information (e.g., Social Security Numbers, financial account details) in the generator fields.

Your data is stored securely on Supabase infrastructure hosted in the United States. We implement industry-standard security measures including:

• HTTPS encryption for all data in transit.
• Row-Level Security (RLS) policies on our database, ensuring users can only access their own data.
• HttpOnly, Secure cookies to prevent client-side script access to session tokens.
• Server-side authentication verification on every API request.

No method of electronic transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee its absolute security.

• Account Data: Retained for as long as your account is active. If you delete your account, your data is deleted within 30 days.
• Email History: Stored indefinitely while your account is active to provide the history feature. You may delete individual history items from within the app.
• Guest Usage Cookies: Expire after 365 days.

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate data.
• Deletion: Request deletion of your account and associated data.
• Portability: Request your email history in a machine-readable format.
